Request for Proposals
INTRODUCTION
The Warm Springs Watershed Association (WSWA) is requesting proposals relating to the construction of a new website, using WordPress. WSWA is a 501(c)(3) non-profit organization in Berkeley Springs, West Virginia, dedicated to the protection of the Warm Springs Run and its watershed. WSWA seeks an expert in WordPress to convert our current website, including new content not currently on the website, into one our Board members can later manage, update, and edit on their own, as such needs arise. WSWA will provide the successful applicant with all necessary copy and navigation instructions for the applicant to construct the new website. The successful applicant must also adhere to the website requirements detailed in the second half of this Request for Proposals.
SCOPE OF WORK
WSWA seeks the following deliverables:
1) Meet with WSWA Board members to go over the work product WSWA
developed in preparation for this website upgrade.
2) Provide WSWA with weekly updates on progress, including the sharing of completed website content for review by and feedback from WSWA.
3) Complete the new website using WordPress, after successfully addressing any feedback received from WSWA and ensuring that all requirements detailed in the “Website Requirements” section of this RFP are met.
4) Train key WSWA Board members in the use of WordPress, to allow them to manage website content changes and updates as they occur.
TIMETABLE AND COMPENSATION
• The successful applicant will start work by scheduling a meeting with WSWA Board members per item (1) in the Scope of Work, no later than ten (10) days after receiving notification of their winning proposal.
• The successful applicant must complete the new website no later than twelve (12) weeks after the initial meeting with WSWA Board members referenced above.
• Within the 12-week period mentioned above, the successful applicant must provide written step-by-step instructions on WordPress basics to WSWA Board members, covering at minimum:
o How to edit existing text
o How to add new text and images
o How to add new or delete existing pages of content
• At some point towards the end of the 12-week period mentioned above, the successful applicant must schedule a 2-hour meeting with WSWA Board members to go over the written guidance materials referenced above and answer any questions members may have.
Compensation for the above cannot exceed $7,000. WSWA will select the applicant (1) who provides a proposal addressing all the points referred to in the Scope of Work and the Timetable above; (2) who commits to completing all the activities described above within the specified timeframes; (3) who provides a resume adequately demonstrating the applicant’s expertise in WordPress and experience in building websites; and (4) who offers their services to complete the Scope of Work above at the most competitive price, not to exceed $7,000.
