ADVERTISEMENT FOR BIDS CITY OF BUCKHANNON STREET DEPARTMENT LIGHT POLE ASSEMBLIES AND GLOBES The City of Buckhannon (City) will accept sealed bids for the purchase and delivery of twenty-nine (29) light pole assemblies and (29) globes at City Hall at 70 East Main Street, Buckhannon, WV 26201 until 4:00 PM EST on March 26, 2020, at which time all received bids shall be publicly opened and read aloud at the regularly-scheduled Consolidated Public Works Board meeting. The light poles assemblies and globes to be provided are based upon the P2063 light pole product line and R34 refractive globes product line respectively as produced by Philips Hadco, located at 100 Craftway Drive, Littletown, PA 17340. It should be noted that Engineer-approved equals will be accepted provided they generally conform in style (with minor variations) to the existing light poles and globes currently installed in the City of Buckhannon. General specifications of the light poles and the globes to be provided by this bid are as follows: Light Pole Assembly Order Designation Code: CP5997C Globe Order Designation Code: C5997L The bid package, containing the detailed specifications and additional information will be available on February 27, 2020. Interested parties should contact James S. Hollen, III, City Engineer for the City of Buckhannon (304-472-1651, extension 1006) for pickup options of the bid package. All clarifications, questions or comments regarding the contents of the bid package must be submitted in writing and either mailed, faxed or emailed to the address below. No clarifications and questions will be accepted after 12:00 PM EST on March 12, 2020. All light pole assemblies and globes are to be delivered by the successful Bidder to the City’s Street Department’s Office, which is located at 85 Factory Street in Buckhannon, West Virginia. If a Bidder is submitting alternate products to the types specified above, the Bidder shall provide product literature, including detailed specifications, drawings and information, for review by the Engineering and Street Departments for conformity with the bid specifications no later than two (2) weeks prior to the scheduled bid opening. Sealed bids should be clearing labeled on a sealed envelope as “Gateway West Phase II Street Light Pole Assemblies and Globes Bid” and may either be hand delivered or mailed to the following address: Mr. James S. Hollen, III, PE – City Engineer City of Buckhannon 70 East Main Street Buckhannon, WV 26201 The City shall evaluate all Bids received based upon price, compliance with the Project Specifications, customer satisfaction, service availability and the general suitability of the Light Pole Assemblies and Globes for their intended use. The City reserves the right to reject any and all Bids that are not in the best interest of the City. The City reserves the right to select any Bid that best meets the needs of the City, including the right to award the Contract(s) to a Bidder other than the apparent Low Bidder. The City reserves the right to waive any bidding informalities that may arise. In addition, the City also reserves the right to terminate the contract at any time due to noncompliance with the information contained in the Invitation to Bid Letter, the Project Specifications and the Fixture Drawings.
