ADVERTISEMENT FOR BID

The Ritchie County Board of Education will be accepting sealed bids for the seasonal mowing and trimming at locations as specified in the bid packet for 2023. Bids must be submitted on the bid sheet provided by the Board of Education Office. Copies will not be accepted. The successful bidder must provide the Board of Education with a copy of their general liability insurance policy with a minimum coverage of $1,000,000.00 upon acceptance of their bid.

Description of Work to be Performed:

For the purposes of this bid packet, a round of mowing is defined as:
* Mowing in all areas that are currently/have been mowed
* Mowing around all buildings
* Mowing around any permanently attached articles/objects in the mowing area
* Blowing all debris off all sidewalks as a result of mowing
* Blowing all debris off all buildings as a result of mowing
* Blowing all debris off fencing as a result of mowing

For the purposes of this bid packet, a round of trimming is defined as:

* Trimming in all areas that are currently/have been trimmed
* · Trimming around all buildings
* Trimming around all permanently attached articles/objects in the trimming area
* Trimming all Ritchie County Board of Education-owned fence lines (both inside and outside) in the trimming areas
* Trimming inside all fenced areas within the mowing area as needed
* Blowing all debris off all sidewalks as a result of trimming
* Blowing all debris off all buildings as a result of trimming
* Blowing all debris off all fencing as a result of trimming

Considerations:

1. For the 2023 mowing season, four (4) rounds of mowing per month, April through October, and one (1) round in November.
2. For the 2023 season, two (2) rounds of trimming per month, April through October, and one (1) round in November.
3. Ritchie County Schools reserves the right to increase/decrease the number of rounds of mowing or trimming per month as needed and after consultation with the mowing contractor.
4. Ritchie County Schools reserves the right to work with the mowing contractor and increase/decrease area(s) within sites that are mowed or trimmed with compensation being adjusted accordingly.
5. No mowing or trimming in wet conditions.
6. Mowing contractor is responsible for any and all damage to all public and private property during the performance of this contract.
7. Mowing contractor is responsible for personal liability in regard to operation of equipment.
8. All sidewalks are to be swept clean.
9. Clippings are to be kept off the sides of all buildings.
10. Check with building administrator prior to mowing near the school during school hours.
11. Ritchie County Board of Education will not be responsible for the contractor’s equipment.
12. Area at Ritchie County Middle/High School known as “The Practice Field” shall be mowed to a height of four (4) inches.
13. Athletic fields and/or outfields at Ritchie County Middle/High School that include softball, baseball and football shall be mowed to a height of three (3) inches.

3. Harrisville Elementary School
4. Smithville Elementary
5. Creed Collins Elementary
6. Cairo Old Bus Garage

Trimming “The Hill”

Trimming “The Hill” above Baseball Field, Football Field, and Concession Stand will be completed a minimum of five (5) times per year. Additional times should only occur after consultation and at the discretion of Ritchie County Schools.

Terms/Termination

This contract is for a minimum of twelve (12) calendar months. It may be terminated by one or both parties after a 30-day written notification is given. This contract may be extended for a period of up to two (2) additional years if both parties agree in writing, bid amounts for service do not change, and sites mowed remain unchanged. However, if any properties owned by the RCBOE are sold after the contract has been accepted, the RCBOE will not be required to request new bid proposals. The property sold will be reduced from the existing contract amount. The successful bidder must furnish all of their own equipment, materials, and supplies.
Interested vendors should submit their bids to the Board of Education Office at 134 S. Penn Avenue, Harrisville, WV by Monday, February 27th at 11:00 am at which time bids will be publicly opened and read aloud. The Ritchie County Board of Education reserves the right to accept or reject any and all bids, and/or parts of any bid determined to be in the best interest of the Ritchie County Board of Education.

** For the 2023 mowing season ONLY: The outfields of softball and baseball fields will only need mowed and trimmed after consultation with Ritchie County Schools. **
